Terms and Conditions for Event Hire

  • Payment Terms:
    1. 35% of the estimate is required as a signing deposit. This payment serves, as a retainer is due and payable at the time of contract signature. Deposit is non-refundable. Once the contract has been signed client is bound to pay 35% non-refundable deposit under any circumstances.
    2. Final balance due 15 business days prior to wedding/event date payable by certified cheque/Bank Draft (Payable to GPS decors & Wedding services), cash, eTransfer, Visa or MasterCard
    3. Please send e-Transfers to info@gpsdecors.com
    4. Please note additional 2% surcharge is applied for any payments made by Visa, MasterCard, Amex.
  • In the event the wedding couple is forced to change the date of the wedding every effort will be made by decorators to support the new date. The wedding couple agrees that in the event of a date change any expenses including but not limited to deposits and fees that are non-refundable and non- transferable are the sole responsibility of the wedding couple. The wedding couple further understands that last minute changes can impact the quality of the event and that The Wedding decorator is not responsible for these compromises in quality. 10% extra will be charged for rescheduling.
  • In the event of a cancellation all payments made to date are non-refundable and all outstanding payments will be due immediately. We reserve the right to cancel an event due to severe weather/unforeseen conditions. No refund will be given due to inclement weather while equipment is out.
  • In the event, Decorator is unable to collect the required payments for any reason. In that case all coordination efforts will cease.
  • GPS Decors is not liable for any Item/Décor coming off loose or fall off due to wind or any other natural factor.
  • Fresh flowers are very prone to wilting due to heat and exposure to Sun
  • All picture used during the design process are for reference purposes only, Actual installation design may look different.
  • GPS decors shall not be responsible or liable for any non-performance of its obligations in this agreement caused by act of GOD, Labor strikes or other causes not with in control.
  • If any provision of this Agreement shall be held to be invalid or unenforceable for any reason, the remaining provisions shall continue to be valid and enforceable. If a court finds that any provision of this Agreement is invalid or unenforceable, but that by limiting such provision it would become valid and enforceable, then such provision shall be deemed to be written, construed, and enforced as so limited.
  • The failure of either party to enforce any provision of this Agreement shall not be construed as a waiver or limitation of that party’s right to subsequently enforce and compel strict compliance with every provision of this Agreement.
  • All the decoration material is company’s property and any damages to company’s property is payable by the wedding couple or agent on their behalf. Any item taken outside the venue will be considered as damaged. As Security we require a major Credit Card on file for damages and unpaid bills.
  • GPS decors shall not be responsible for injury or damage to persons or property arising from any goods under hire. The hirer will be responsible for ensuring the chair covers and sashes are fitted correctly to prevent any injury. We shall be under no liability in respect of any defect arising from willful damage, abnormal usage conditions, failure to follow our instruction (whether oral or in writing), misuse or alteration or repair of the linen without our approval. Where the size has been selected online, we carry no liability should the covers not fit. We are not liable if we are unable to set up due to severe weather conditions (wind, rain, snow) or any uncontrollable circumstances. We shall not be liable to you by reason of any representation or any implied warranty, condition or other term, or any duty at common law or under these terms and conditions, for any special, indirect or consequential damage. Clients leaving bad or negative feedback regarding a booking or cancelled booking which has a negative impact on our business, without just reason or reasonable time to resolve any issues, will be in breach of this contract. We will take legal action to regain all loss of business. This includes social media, forums and trade papers.
  • The Customer is Responsible for the Return of any Items Missing from the Venues at the Time of Pick Up.
  • No guarantee is given that the same designs & flowers will be available on orders made less than two weeks prior to wedding. Color and style will match as close as possible.
  • The Customer is Responsible to inspect all Items at the Time of Delivery or Pick up for Damages. All Damaged Items Must Be Reported at this Time. The Loss and/or Damage of Any and All Rental Items are the Responsible of the Customer, and the Customer will be billed /charged on Credit Card on file in Full for the Replacement Value of All and Any Items Lost and or Damaged. The Customer shall be personally responsible for all damage and loss caused by customer, their guests, and members of family or invitees.
  • Rates for all deliveries and pickups will be quoted upon request.  Delivery and pickup will be to ground level only. There is an additional charge for upstairs and downstairs delivery.
  • We require your final numbers 2 weeks before the wedding/event date. Contract is signed for minimum qty. If no. increases clients will be charged according to new qty. Clients are responsible for contacting us with any change in numbers.
  • Every Design/Project is GPS decors Property, GPS decors holds right to use it without client’s permission.
  • Client is responsible for making arrangements to light the candles in the setup if any.
  • GPS decors can’t be held responsible for any damage caused by water and candles used in the setup, to the client, venue, and guests.
  • Client agrees to arrange adequate supervision of children attending the function.
  • All quotations are valid for 2 weeks only.
  • COVID Policy
    1. Deposit in non-refundable in case of cancellation.
    2. 3 dates are required for rescheduling later 2022 0r 2023.
    3. 10% extra will be charged for rescheduling.
    4. All contracts are non-assignable.
    5. Due to social distancing and other COVID related restriction, set up might take longer than promised.
    6. Due to ongoing supply chain disruption or any other unforeseen circumstance, we might not be able to fulfill the contract completely or some items might be substituted.
    7. Due to complete shutdown of event industry local resourcing is very limited which might impact color scheme and type of fresh flowers.
